Congratulations! You have a very important job as 4-H treasurer. Keeping record of your club’s money is critical work. The skills you learn will be useful the rest of your life.
We are here to help you learn and to answer questions. This book is one way to keep track of everything you need to turn in at the end of the 4-H year. (September 30)
- Receive all money for the club.
- Keep a record of all money received in your treasurer’s book. Record the date, amount received, and the source of the money, such as receipts from bake sale, pop stand at the fair, etc.
- Deposit the money to the club account in the local bank as soon as possible, keep it in a safe place. Never put club money in with your own personal money.
- Pay money out of the treasury only when approved by the club.
- Record the date, the check number, to whom the money was paid, what for, and the amount in the book.
- A very important job of yours is to make sure the regular monthly or quarterly bank statement usually sent to your leader and your records agree. Remember to keep track of the new total.
- Give a report of money received, bills paid and the new totals at every club meeting .
- Turn in this completed book to us at the end of the 4-H year (September 30). Only then can your whole club have permission to enroll for the next year.
- At election time, pass along all your treasurer records.
Your leader will give you additional tips and suggestions on handling checkwriting. The bank statements about your clubs’ money generally are sent to your leader.
